Thank you for your interest in hosting your event at Witton Barracks. Please read these terms and conditions carefully before finalising your booking, to ensure your event runs as smoothly as possible. Feel free to contact us if you have any questions regarding your event, we are more than happy to help.

Bookings and deposits
To secure your booking, a 50% deposit is required. The remaining balance must be paid no later than 14 days before your booking date. For bookings under $400, full payment is required at the time of booking. If full payment is not received by the due date, Witton Barracks reserves the right to cancel the booking and retain any deposit paid. 

A $100 refundable cleaning deposit is also required at the time of booking. This will be returned in full if the venue is left clean and in the same condition as it was found. If additional cleaning is required, the deposit will be retained to cover associated costs.

All bookings must be made by individuals over the age of 18. By making a booking, you confirm that you are over 18 years of age.

Insurance
Witton Barracks has Public Liability Insurance that covers any incident that may lead to a damage claim and for which Witton Barracks and its staff are deemed responsible. This insurance does not extend to the person or organisation booking the facility for incidents that may be attributed to their actions or arrangements. We recommend all hirers have their own insurance coverage. 

Security
If your event requires security personnel, additional charges will apply. Please notify us prior to booking so we can provide a quote. 

Safety and supervision of children
Children must be supervised at all times while on the premises. Extra caution is required on the back balcony area, as Witton Barracks takes no responsibility for accidents or injuries due to lack of supervision. 

Please also ensure children are supervised in all outdoor areas where vehicles may be present. Witton Barracks is not responsible for any incidents involving unsupervised children. It is the responsibility of the hirer to ensure appropriate supervision is provided. 

Parking
While parking is generally available at Witton Barracks, the venue is under no obligation to provide parking. All vehicles are parked at the owner’s risk. Witton Barracks accepts no responsibility for loss, damage, or theft of vehicles or belongings left in vehicles. Please take care when moving vehicles, as pedestrians and children may be present. 

Final numbers and dietary requirements
Final guest numbers and any dietary requirements must be provided no later than 14 days prior to the event. While we aim to accommodate all dietary needs, we cannot guarantee meals will be completely allergen-free. 

Before and after the event
Please allocate sufficient time for setup, decorating, and pack-down within your booking hours. Additional charges will apply if your event exceeds the agreed time. 

All decorations must be approved by the Witton Barracks team. No screws, nails, double-sided tape, or anything that may damage surfaces is permitted. 

Venue damage and equipment use
The hirer is responsible for any damage caused to the venue, including buildings, furniture, fixtures, gardens, and pathways. 

Costs for repair or replacement will be charged to the hirer. This also applies to any items hired from Witton Barracks such as projectors, speakers, microphones, or AV equipment. 

Heritage building considerations
Witton Barracks is a heritage-listed site. Due to the age and nature of the building: 

  • All decorative elements must be approved by our team. 
  • The venue reserves the right to alter or stop any activities that may impact the building. 
  • No open flames (including candles) are permitted on the premises. 
  • Smoking is strictly prohibited, both indoors and in any outdoor licensed areas. 

Cancellations and rescheduling 

Cancellations 

  • More than 30 days prior: Full refund, minus a $30 admin fee. 
  • 14–30 days prior: 50% refund, minus a $30 admin fee. 
  • Less than 14 days prior: No refund. Cleaning deposit will still be returned. 
  • Refunds processed within 7 business days of receiving written notice. 


Rescheduling
 

  • Requests to reschedule must be made at least 14 days before the event. 
  • A $30 admin fee applies. 
  • Requests made less than 14 days in advance will be treated as cancellations.  


Force majeure
 
In the event of unforeseen circumstances beyond either party’s control (e.g. natural disaster, extreme weather, power outages, venue damage, or government-mandated restrictions), Witton Barracks may cancel or reschedule bookings. 

In such cases, we will work with you to arrange a new date or process a refund where appropriate. 

Please note: personal illness, change of mind, or inability to attend are not considered Force Majeure events. 

Acknowledgement and agreement 
Booking the Glass Box Room or Quarter Hall does not include access to other areas of the Witton Barracks site. 

By submitting a booking application, you confirm you have read, understood, and accepted these terms and conditions – even if the form is not physically signed.
